Event Conditions & Requirements
Whale of a Time Workshop Leaders / Artists / Assistants:
Depending on the nature of the event an average event will have between 30 - 500 attendees. Depending on the amount of participants the event would be run by two to ten Whale of a Time Workshop Leaders, Artists and Artist Assistants. All Whale of a Time Workshop Leaders hold a CRB.
At schools we also require the assistance of teachers and TAs.
We also welcome the participation of parents.
Environmental Responsibility:
All materials used are environmentally-friendly, Whale Mail is printed on recycled paper, our Whale Van runs on LPG, which burns cleanly and is emitting less CO2 than oil, coal, coal-generated electricity distributed via the grid.
Costs:
The event costs for a half-day and a full-day booking, depend on location and group size - Please contact us for a quote.
The event costs include all workshop materials, tools, transportation, artist fees, public liability insurance, expenses, promotion in the Whale of a Time Community. We offer a special discount for half day or more than one-day bookings. Please ask for "Whale Special". Please note, for cancellations we require payment of expenses, that were made on behalf of your booking.
Please choose between two different settings: Festival Bookings and School Bookings.
Pubilc Event / Festival Bookings (Open Access)
Open access for all, participants wander in and out of our event. Capacity up to 500 participants in a full-day event up to 6 hours, up to 60 participants at any one time, This can be indoors or outdoors in a tent. Our programme is designed to run different themes on endangered species with the focus on sustainability whilst running clay modelling sessions.
Duration and Capacity:
We offer half day and full day events. Minimum booking time is 3 hours and maximum is 6 hours. For events lasting over 6 hours please call to discuss your requirements. On a full-day event the workshop capacity is up to 500 participants through-out the day. The maximum number at any one time is 60 participants.
Set-up / Take-down Times:
We require up to 2 hours for set-up and take-down.
Space:
At festivals we require roughly 20 - 36 m2 space. This could be indoors or outdoors in a marquee tent. We can also provide our marquee (dimensions: 4.5 x 4.5 m), hiring fee is £100 per day or discount on more than one days. Please let us know if you would like us to supply the marquee. Adding an additional 1.5 m on the outside allows us to set up small kids tables around the tent. Ideal location during bigger events would be central with access to all sides where people can wonder in and out as they please from any direction. Ideal shape of area would be square. At schools (see School Bookings below) or youth clubs we require the use of a large space such as a hall or gym. For indoor events, ideal would be a non-carpet area, which is easy to clean.
Trestle Tables and Chairs:
We also require 7 - 13 large trestle tables and 20 - 60 chairs, depending on capacity of the event.
Water Access:
We require water access nearby, onsite or approx. 70 l water.
Technical Equipment:
Where technology and electricity is available we could also integrate the screening of an educational video and play nature sounds. Please confirm electricity, audio (CD player and speakers) and screening equipment (video projector and laptop) available.
Vehicle Parking:
At outdoor events if possible we require an on-site vehicle pass for our Whale Van, due to heavy load. Our Whale Van is a small mini van. Make: Peugeot Partner
Whale of a Time Gallery:
All models will be displayed in the Whale of a Time Gallery during the events. Participants are encouraged to leave their models to dry in the gallery and pick them up on their way home at the end of the festival. At festivals we also provide cardboard boxes at the cost of £1 per box (to be paid by the participant) if desired. As part of our promotional package we also provide your event with its unique online-presence incl. photos and/or video in the Whale of a Time Gallery (Exact details to be discussed)
Firing & Glazing of Participants Sculptures:
If participants wish, they have the opportunity to have their sculptures fired and glazed for a special fee covering firing and glazing paints and kiln hire (Exact details to be discussed). Please view Fired & Glazed Sculptures
Whale of a Time Comments:
During the events we provide the Whale of a Time Guest Book where participants have the opportunity to leave their feedback about your events. All comments can be view at Whale of a Time Comments
Promotion:
All public events are promoted through-out the Whale of a Time Community to approx. 5000 Friends of the Whale (members) via the Whale Mail (newsletter).
We also promote your events and write a Whale Review to update participants and clients on the outcome including comments, links to your presence in the Whale of a Time Gallery, and where available publicity in newspapers, on the radio or TV.
If required we'll also promote your events in your local neighbourhood, design and hand-out flyers etc. (Exact details to be discussed.)
School Bookings (Set Programme)
We can run our event for the whole school in one full-day! Up to 400 participants in one full-day event, up to 5 hours. (More than 400 pupils - please contact us.) Usually 1 or 2 classes (up to 60 participants at any one time) take part in a session of 30 - 60 min, good location is in a large school hall. Our programme is designed to include clay modelling sessions of endangered species as well as question and answer games, video and audio activities.

On a full-day event the workshop capacity is up to 400 participants through-out the day. The maximum number at any one time is 60 participants. Please send us your time schedule so we can design your programme for your classes. - How many children will you schedule per session? How long will each session last?
Age Group:
Please let us know what age group the participants are so we can design your activities accordingly.
Teachers and TAs:
Please can you also ensure that there will be some assistance by teachers and TAs. Please feel free to invite parents as this could also be a good family bonding experience.
Space:
For large groups of 60 participants per session: We require the use of a large space such as a hall or gym.
For smaller groups up to 30 participants: A classroom may be sufficient. Note: Ideal would be a non-carpet area, which is easy to clean.

Whale of a Time Gallery:
